Practice Policies

Our office policies are designed to assure you that we provide quality care. We are constantly striving to improve our practice, and welcome your input always.

We are not a Primary Care Practice.

Our practice is not affiliated with any hospitals, and generally does not treat acute conditions covered by a PCP, such as infections or injuries. Our schedule allows for same-day visits or phone consults only when addressing a side-effect or problem with a treatment or medication that we have prescribed. All other patients wishing for same-day appointments may sometimes be accommodated within 3-4 business days, but otherwise should consult their PCP.

Office Hours: Our office is open Monday through Friday, with some exceptions. Please see detailed hours posted here.

Payment: The Rothfeld Center does not accept most insurance plans, but does submit claims to Federal Blue Cross/Blue Shield and Unicare. Patients who are not subscribers to these plans are expected to provide payment at time of visit. We accept cash, MasterCard, Visa, American Express, and personal checks. 

Patients who are not subscribers to these plans often pursue reimbursement on their own with their insurance companies. The Rothfeld Center is happy to provide its patients with all the necessary information and paperwork to submit these claims.

Our providers have opted out of Medicare completely. Patients on Medicare must pay out of pocket and agree not to submit their claims to Medicare for reimbursement.

Cancellations: If you need to cancel an appointment outside of regular business hours, please leave a message on our general voice mail. If you fail to cancel an appointment with a practitioner 24 hours prior to your appointment or do not show for your appointment you will be charged $100.00.

Allergy Patients: If you fail to cancel an appointment with adequate notice or fail to appear for your allergy testing, you will be responsible for a cancellation fee of $75.

Infusion Patients: If you fail to cancel an appointment with adequate notice or fail to appear for your infusion, you will be responsible for a cancellation fee of $50.

If you are running late: If you are going to be a late to see a practitioner, please call to let us know so that we can make the appropriate adjustments to the schedule.

Our infusion and blood draw schedule is very tight. We will therefore have to reschedule any patients more than ten minutes late. A new appointment can usually be accommodated the same business day.

Leaving Messages After Hours: General voice mail messages are checked before the start of each day and several times throughout the day. After calling the main phone number, you may reach certain lines directly by pressing the number on the key pad. For questions for your practitioner or prescription refills press 1, for medical records or scheduling, press 2, for the apothecary and supplement orders press 3, for the allergy department press 4, for Billing press 5.

Prescription Refills: Prescription calls made before 1pm will be called in by the end of the next business day.  If the practitioner is out of the office it may will take 48 hours for your prescription to be approved. If you know you are going to need a prescription filled or if you need a hard copy for a prescription, please call us 48 hours in advance.  Please note that Plymouth is not open on Fridays.

Laboratory Tests: The Rothfeld Center is not responsible for billing any specialty laboratory tests ordered by your practitioner. Quest Diagnostics and Lab Corp will bill most insurance plans; however, other laboratories and take home kits may not be covered by insurance.

Staff will assist you in completing the required requisitions. It is your responsibility to contact each lab if you have further insurance coverage questions. For take home kits include your insurance information on the requisition form, or, if necessary, enclose the payment with your specimen.

Medical Records: If you would like us to release your records to another physician, hospital, attorney, etc., you must sign a written release. Release of your medical records will be handled within 30 days, and will be handled in order of receipt.​  There is a charge for processing medical records.  

Perfumes and Smoke: Because we treat environmentally sensitive patients, we ask that you do not wear perfume or scented personal products to your visit. We also ask smokers not to smoke before a visit. Lingering smoke can affect allergic patients.

Cellphones: As a courtesy to our patients, the use of cell phones in the waiting area is strictly prohibited.

Parking: Handicapped parking is located in the front of 465 Waverley Oaks Road, Suite 209, Waltham.  All other parking is at the front, side and rear of the building.
